Issue 1

Description

After upgrading to AgilePoint v5.0, old process models (created in previous AP versions) that use the Dynamic Group shape are not working at design time (in Envision), or at run time.

Description

Issue 4

Description

The Download File AgilePart in the SharePoint Stencil caused an application pool recycle within AgilePoint Server. In order to fix this issue, this AgilePart now uses the Windows Temp folder to download a copy, rather than a folder within AgilePoint Server.

Issue 7

Description
After upgrading to 5.0, on the Add Template screen in Enterprise Manager, an error message says that a property is mising from the Date Picker control. The reason is, one of the previous upgrades put Ascentn.Workflow.Webcontrol.dll into the GAC of the AgilePoint Server. This Dll needs to be uninstalled from the GAC.

Fix

Log on to the AgilePoint Server using an account that has write permissions on the GAC. The Administrators account on the local computer has this permission.
Navigate to the GAC at %systemdrive%\Windows\Assembly.
Right-click the Ascentn.Workflow.WebControls assembly file, click Uninstall, and then click Yes to confirm.
Repeat step 3 for all resources file which start with Ascentn.Workflow.WebControls.resource.

How do I update the logon credentials for the AgilePoint Impersonator account?

Details

To change the AgilePoint Impersonator account credentials:

Update the AgilePoint Configuration

On the AgilePoint Server machine, click Start > All Programs > AgilePoint > AgilePoint Server Configuration to open the AgilePoint Configuration Console.
On the System tab, update the System User and Password fields as required.

Update IIS

On the AgilePoint Server machine, open the IIS Manager.
Navigate to the AgilePoint application pool, right-click the AgilePoint application pool name, and click Properties.
On the Properties dialog box, click the Identity tab.
On the Identity tab, enter the desired logon credentials in the User name and Password fields.
Reset IIS.

Update AgilePoint Data Services

On the AgilePoint Server machine, open the Windows Services list.
Right-click AgilePointDataServices, and click Properties.
On the Properties dialog box, click the Log On tab.
On the Log On tab, enter the desired password in the Password and Confirm password fields.

Update SharePoint Integration

Complete the following only if: a) you are a SharePoint Integration user, and b) your Impersonator credentials are the same for your AgilePoint Server and SharePoint Integration:

On the SharePoint Server machine, open the AgilePoint Configuration list.
On the AgilePoint Configuration list, click Edit Item to update the values for the ImpernatorUser and ImpersonatorPass.

Why does an error occur when many AgilePoint workflows are started simultaneously from a SharePoint library?

Summary

When many AgilePoint workflows are started simultaneously from a SharePoint library, sometimes the process fails to start and/or memory errors occur on the SharePoint server. This most often occurs during stress testing.

Applies To

AgilePoint SharePoint Integration users.

Details

This issue occurs because of the SharePoint Workflow Throttle setting, which limits the number of workflows that can be processed at any one time (the default value is 15). If the limit is exceeded, the workflows over the limit will be held, and then run later by the SharePoint Timer Service. By default, the SharePoint Timer Service does not recognize AgilePoint.

You can fix this issue in one of the following ways.

Increasethe SharePoint Workflow Throttle setting

You can increase the SharePoint Workflow Throttle setting to handle a larger number of simultaneous workflows. For instructions, see the following article: http://msdn.microsoft.com/en-us/library/dd441390(office.12).aspx.

Add a Configuration File

You can add a configuration file to the SharePoint Sever, so that AgilePoint is recognized by the SharePoint Timer Service:

In a text editor, create a file named owstimer.exe.config.
Paste the following information in the text file:

Correction: In the instructions for Configuring AgileReports, the following step is incorrect:

Why doesn't the Email AgileShape send emails outside my company's domain?

SUMMARY
	AgilePoint makes available to customers options for flexibility in exception handling for out-of-the-box, and custom AgileParts by enabling the ability to implement custom logic. This article provides an AgileConnector sample and source code as well as information about how to develop, deploy, and implement an AgileConnector for custom exception handling for AgileParts. Note: Errors in SharePoint and SAP cannot be handled using custom exception handling because these errors tend to be severe with respect to AgilePoint processes. The default behavior for SharePoint and SAP errors is to pause the process and send a notification to the system administrator.

Set Item Permission Custom AgilePart for SharePoint Integration v2

Description

Samples and instructions for creating a custom AgilePart that enables you to change the permissions for a list item on the fly in AgilePoint SharePoint Integration v2.

Details

AgilePoint SharePoint Integration v1provided an AgilePart called Item Permission, which enabled permissions to be modified for an item in a SharePoint list on the fly. However, this functionality violates Microsoft Gold Level Certification policy in SharePoint Integration v2. This functionality violates Gold Level policy because it is only available through the Server Object Model and not through web services, which would mean that a custom web service must be placed on the SharePoint server. For these reasons, it was not included in SharePoint Integration v2.

For customers who are willing to place custom web services on SharePoint servers, it possible to use this functionality by creating a custom AgilePart. The attached Zip file provides samples and instructions for creating this custom AgilePart.

(Note that you may see two copies of the Zip file. This is a display error in the KB software. The two copies of the file are the same.)

AgilePoint Floating License FAQ

What is an AgilePoint Floating User License?

For newAgilePoint customers purchasing AgilePoint BPMS v5.0 or higher, the AgilePoint Floating User License is available. In a floating license model, only the active AgilePoint BPMS system users are counted against the number of purchased license seats. The number of active users is defined as the number of user sessions on the AgilePoint Server at a given time.

How can I estimate my number of users for an AgilePoint Floating User License?

Use the following calculation to estimate the number of users you will require under the AgilePoint Floating User License. Note that this is a basic estimate to be used as a general guideline intended as astarting point. You can use your own estimating scheme if desired.

[totalnumber of AgilePoint users] * [average number of hours per day each user will be actively using AgilePoint] / [number of hours per work day] = [number of required floating license seats]

Example: 200 total AgilePoint users * 2 hours average usage per user per day / 8 hours per work day = 50 floating user license seats

What happens if my total number of concurrent users exceeds my maximum number of active user license seats?

If your total number of concurrent users exceeds the maximum number of active users allowed by your License Agreement, the AgilePoint Server will generate an email warning to the system administrator. At this point, system performance may slow somewhat.

If you receive a warning regarding your maximum users, AgilePoint recommends that you 1) monitor your licenseusage, 2) try tuning your session timeout settings to accommodate your current user load, and 3) purchase additional license seats if required.

How can I monitor my actual number of active users once the system is up and running?

To monitor your actual number of users, query the AgilePoint database to analyze your maximum number of users in a day, and the frequency with which that maximum is reached. The AgilePoint system refreshes the user session count every 10 minutes. A record is generated each timethe maximum number of license seats is reached.

To monitor your license usage, run the following query against the AgilePoint Database:

The results look like the following. L=n represents the maximum number of floating license seats. A=n represents the number of active user sessions.

How can I tune my server settings to better accommodate my current number of user licenses?

If your number of concurrent, active user sessions are exceeding the number of seats in your Floating User License Agreement, you can change the session timeout interval to better accommodate your usage.

There is a tradeoff between greater numbers of available license seats and system performance. If you have shorter session timeouts, you tend to have a higher number of available license seats, but frequent user session renewals can negatively impact system performance. On the other hand, if you have a longer user session timeoutperiod, performance is better because the system is not renewing user sessions as often. However, longer timeouts can yield fewer available license seats and active sessions for users who are not actively using the AgilePoint system.

To modify the session timeout, in the AgilePoint neflow.cfg file in the <server> node, modify thevalue of the UALExpirationPeriod attribute (<server UALExpirationPeriod="n" ...>). The unit for this value is minutes. The minimum value is 15.

Setup

To set up the XPDL export functionality:

Download and extract the attached Zip file, CustomXpdlPlugIn.zip.
Copy the file CustomPlugIn.dll to the root folder for your Envision installation.
To add the appropriate registry keys, double-click one of the following files, depending upon your Envision installation type:
- 32-bit - CustomXpdlPlugIn-X32.reg
- 64-bit - CustomXpdlPlugIn-X64.reg

Export

To export your process to XPDL, in Envision, click File > Export & Import > Export Standard XPDL.

NOTE: AgilePoint recommends creating a backup copy of the configuration file for the web application you are configuring before using this utility.

In the AgilePoint Windows Service Client Utility Tool dialog box, complete the following fields:

Service Address – The URI for the WCF Service for which you are creating the binding. The information required to build this URI is provided in the AgilePoint Server Manager window.

HTTP - http://[APServer Machine Name]: [Http Port]/AgilePointServer

NOTE: When you create the bindings for the web applicaiton, the settings are automatically configured in the web.config file for both HTTP and TCP protocols. By default, the HTTP bindings are used. However, you can switch to TCP by modifying the following properties in the web.config:
- <add key="WorkFlowBindingUsed" value="WSHttpBinding_IWCFWorkflowService" /> Change so value="NetTcpBinding_IWCFWorkflowService"

- AgileForms - The web.config file in the AgileForms installation folder. The default location is C:\Program Files\BWS\AFInt\Webroot\

A utlity that enables you to manager AgilePoint Server instances in a Windows Service (WCF) environment.

Navigation

Start > All Programs > AgilePoint > AgilePoint Server Manager

Details

Configure the following fields:

Service Name - The name you want to use to identify the Windows service associated with the AgilePoint Server instance.
Display Name - The name you want to display to users to identify the AgilePoint Server instance.
Ports - Any two free ports. Click Check Availability to determine if the ports you entered are free.
Location - The path to the AgilePoint Windows Service instance.
User Name and Password - Enter the credentials for the authenticated AgilePoint Server user.
Site - The web site you created for AgilePoint.
Virtual Directory - The name you want to use for the virtual directory that contains the files for the Enterprise Manager web application. The name "EnterpriseManager" is suggested.
Application Pool - The application pool for the Enterprise Manager web application you want to run.
Add button - Creates a new AgilePoint Windows Service instance.
Start button - Starts the selected AgilePoint Windows Service instance.
Stop button - Stops the selected AgilePoint Windows Service instance.
Delete button - Deletes the selected AgilePoint Windows Service instance.
Refresh button - Refreshes the selected AgilePoint Windows Service instance.
Server Configuration button - – Opens the AgilePoint Server Configuration window for the selected AgilePoint Windows Service instance.
Enterprise Manager button - Opens Enterprise Manager for the selected AgilePoint Windows Service instance.
Update button - Saves changes to an AgilePoint Windows Service instance configuration.

A column is displayed in a SharePoint List Form regardless of view settings

Description

A column displays on a SharePoint List Form, even though the column is set to Hidden in AgilePoint Envision.

Applies To

AgilePoint SharePoint Integration users.

Resolution

In SharePoint, verify the following:

The context user has the privilege to access the AgilePoint Configuration list where the binding information for the SharePoint List with the List Form Process Definition is stored. This binding is used by the List Form Web Part when rendering the List view.
The List Form Web Part is available in the subject SharePoint List. If it is not available, the default List view will be rendered showing all the fields. ListForm is delivered in AgilePoint 4.7 SP2. Please see the Release Notes for more information.
The SharePoint metadata is updated in the process definition, and the updated process definition is checked in to the AgilePoint Server. If you change information, such as a column name, in the process definition, this could affect the display properties.

In Envision, open the process definition with the SharePoint List Form, and click File > SharePoint > Retrieve Meta Data Schema. Save the process definition, and deploy it to the AgilePoint Server.

Exception and excessive CPU usage on automatic AgilePoint application pool recycle

Description

The following error appears in the application log on DW20.exe (windows error reporting) which starts up and causes excessive CPU each time the AgilePoint application pool does an automatic recycle.

ID 1334An unhandled exception occurred and the process was terminated. Application ID: /LM/W3SVC/[ID]/ROOT/AgilePointServer Process ID: 68692 Exception: System.Threading.ThreadInterruptedException Message: Thread was interrupted from a waiting state. StackTrace: at System.Threading.Thread.SleepInternal(Int32 millisecondsTimeout) at System.Threading.Thread.Sleep(TimeSpan timeout) at Ascentn.SharePoint.ContentListener.Process.RunThread() at System.Threading.ThreadHelper.ThreadStart_Context(Object state) at System.Threading.ExecutionContext.Run(ExecutionContext executionContext, ContextCallback callback, Object state) at System.Threading.ThreadHelper.ThreadStart

The thread interruption is caused by the recycle.

Applies To

AgilePoint Server.

Resolution

To avoid interruption of service or excessive CPU usage due to AgilePoint reload at startup, schedule the recycle during off-peak hours. In IIS, confiure the AgilePoint Server application pool properties to schedule Application Pool recycling at a time that will minimally impact your comapny's operations.

Using Xpath to retrieve inner XML string from custom attributes

Description

The user has a need to refer to an XML string within AgilePoint custom attributes. However, when using Xpath as a reference, the XML structure is ignored and is returned as plain text.

Applies To

AgilePoint users with processes that refer to strings of XML code in the custom attributes.

Resolution

To refer to a literal XML string from an Xpath, add a tilde (~) at the end of the path. Adding the tilde returns the inner XML for the element the Xpath refers to. The following example shows an Xpath with the tilde:

When using PointFire, the AgilePoint Process Viewer does not display in SharePoint

Summary

Sometimes when using PointFire for SharePoint localization, the AgilePoint Process Viewer does not display in SharePoint. This article describes the fix for this issue.

Details

To correct this issue:

Open the web.config file for the web application where the issue is occuring.
In the web.config file in the AppSetting section, find the ExcludePaths configuratoion setting.
In the semicolon-separated list of values for the ExcludePaths setting, add ap. This excludes the ap folder in the path c:\program files\common files\microsoft shared\web server extensions\12\template\layouts\ap.

"Access Denied" message from AgilePoint Envision when associating an InfoPath Form

Resolution

AntiVirus software identifies that the Envision macro tries to run the extract.exe utility to unpack the XSN and blocks it. Disabling the AntiVirus will resolve the issue. Configure the AntiVirus to enable Envision macro access the extract.exe.

More Information

The MailApproval module can be plugged into AgilePoint through the Global Server Control Module framework. This AgileConnector allows you to approve/reject tasks via a simple email reply. It supports multiple setups of the AgileConnector and NLB is supported.

Installation Procedure:

Copy the Ascentn.AgileConnector.MailApproval.dll file from the package and it at at ...\AgilePointServer\bin\
Open the AgilePoint Server Configuration Utility and go to the Extension window.
Click the Ellipses button next to the Assembly field and add the following assembly:
…\AgilePointServer\bin\Ascentn.AgileConnector.MailApproval.dll
Leave “Impersonator” field blank.
Click OK.

Now you will need to configure the module.
Click on MailApproval in the list on the left and then click Configure.
Configure the AgileConnector
POP 3 Settings:
POP3 Server: Name or IP-Address of the POP3 Server.
POP3 Port: POP3 Port – Default Port 110
SSL-Connection: Check if you need SSL connection to the POP3 Server.
Login: Username for the mailbox containing the mail based approvals.
Password: Password for the mailbox.
Sleep Timer: Time between each P3 access in minutes.
Delete incorrect approval emails: Check if invalid or ill formatted emails have to be deleted from the mailbox. Mails that processed correctly are automatically deleted from the server. Information Level: Saves information about the details of the processing in the AgilePoint Server Log-File.
Debug Level: Save debugging info about the processing of the mails in the AgilePoint Server logging file.

MS Exchange Server Settings:
MS Exchange Server URL: https://[ExchangeServerMachineName]:[Port]/
Login: Username for the mailbox containing the mail based approvals.
Password: Password for the mailbox

Creating the Incoming AgilePoint Email Template:
Add the following information in the body of the email will allow the user to responsed via email to incoming tasks.

The MailApproval module writes log messages to the AgilePoint Server log file which can be found at AgilePointServer\Log. The following is an example of a log message in the file:

Limitations and Known Issues:

There is no response while testing connection if you uncheck "SSL-Connect" when the "POP3 Server" requires "SSL".
The incorrect emails will not be deleted from the mailbox even if option “Delete incorrect approval emails" is selected in the case of using a POP3 Server.

The attached Custom Workflow Service.zip file provides the necessary files and instructions for adding the custom workflow.asmx to the WSS 3.0 Server.

Copy the Workflowwsdl.aspx file, Workflowdisco.aspx file, and Workflow.asmx files to C:\Program Files\Common Files\Microsoft Shared\web server extensions\12\ISAPI. This is the directory where all default Web services are stored.
Copy the corresponding assembly (.dll) file to the C:\Program Files\Common Files\Microsoft Shared\web server extensions\12\BIN.

	This article provides information on using the Show Trial Perod utility to determine the amount of days left before your trial license for AgilePoint expires.

DETAILS
	Download the attached ShowTrialPeriod.zip file and unzip. Copy this program to 'C:\Documents and Settings\All Users\Start Menu\Programs\Startup' Of demo VPC. When logging into Windows, the program will pop-up a message telling you how much time is left before your trial time expires .The window will stay open for five seconds, and close automatically. NOTE: This works only for Evaluatoin License Keys, if you are using a product license key, it would not prompt. NOTE: Another way to find out the trial period is by looking at AgilePoint Server log. The log files are located at below location. You may check the latest log file and it should log ‘You have xxx days to run ‘AgilePoint Server’ before trial time expired’ (see below picture).
